How to share weekly availability with a team

Teams waste time asking “are you free Thursday?” when a simple weekly snapshot would answer most questions. You do not always need a shared calendar overlay or a booking tool for that — a consistent weekly message often works.

Keep it lightweight: regenerate from Google Calendar so it stays accurate, post in the same place each week, and invite people to propose a slot inside those windows.

    Pick a standing cadence and channel

    For example, Monday morning in a team Slack channel or a weekly email to collaborators. Same place, same format trains people to look there first.

    Generate the week’s free windows from your calendar

    Pull from Google Calendar for the upcoming week. Exclude focus blocks you want protected even if they are not marked busy.

    Use a repeatable template

    Timezone on top, then Mon–Fri lines. Consistency matters more than clever formatting so teammates can scan quickly.

    Say how to book you

    Tell teammates to reply with a time, add a hold on the shared calendar, or send an invite — whichever your team already uses.

    Update when the week changes

    If a day fills up, edit the thread or send a short update. A stale weekly post is worse than none.

Should I include evenings and weekends?

Only if you truly want meetings then. A weekly note is also a boundary-setting tool.

What if my team spans multiple timezones?

State your zone clearly, or dual-label a couple of common overlap hours. Point teammates at overlap-friendly windows first.

How detailed should busy time be?

You can omit busy details entirely and only list free windows. That is usually enough for internal coordination.
