How to send availability in Gmail without a booking link
Gmail threads are where a lot of scheduling already happens. Dropping a booking link can feel like sending someone to another app mid-conversation. Plain-text availability keeps the reply in the same thread.
You still want accuracy from Google Calendar. The difference is the interface for the other person: they read your times in the email and write back, instead of opening a scheduling page.

Reply in the existing Gmail thread when you can
Scheduling replies are easier to find when they stay attached to the original ask. Use Reply or Reply all as appropriate so context stays together.

Generate or note free times for the window they care about
Match the date range they mentioned (this week, next Tuesday–Thursday, and so on). Pull from Google Calendar so you do not offer a slot that is already busy.

Paste times as plain text in the compose box
Avoid screenshots of your calendar. Text is searchable, copyable, and works when the recipient is on mobile. A simple day-per-line format scans well in Gmail.

Skip the booking URL unless they prefer one
If they explicitly ask for a scheduling link, you can send one. Otherwise, listing times is a complete answer to “when are you free?”

Offer to send the calendar invite
Once they choose, create the Google Calendar event yourself (or ask them to). That keeps event details under control without a public booking page.

You can describe free times or use Google’s own sharing features when both sides use Google Calendar. For mixed clients, pasteable text in the email body is the most universal option.
Will Gmail turn my times into links?
Gmail may highlight dates for its own UI, but your list remains readable as text. You do not need a third-party booking URL for that.
What if I need them to book without emailing back?
Then a booking page (including Google Calendar Appointment Schedules or another scheduler) is a better fit. This guide is for conversational scheduling inside Gmail.
How do I keep the message short on mobile?
Lead with the timezone and two or three strong options. You can offer more times in a follow-up if none of those work.
