How to share availability without showing your calendar details
People often need your free times without needing your meeting titles, customer names, or personal appointments. Sharing a full calendar view can overshare; sharing a booking page may still reveal more structure than you want.
The privacy-friendly pattern is free/busy style communication: list open windows as text (or share free/busy only through calendar settings when that is appropriate). Recipients learn when you can meet, not what else is on your day.
Steps
- 1
Decide what “enough” information is
For most emails and chats, day-and-time ranges are enough. You rarely need to explain why a block is busy.
- 2
Use free/busy information, not event details
When generating availability from Google Calendar, prefer workflows that reason about busy vs free rather than exporting titles and attendees.
- 3
Paste open windows as plain text
A list of free ranges communicates availability without attaching a calendar or screenshot that might show surrounding events.
- 4
Avoid screenshots of your week view
Screenshots often include event titles, locations, or other people’s names. Text free times do not.
- 5
Keep optional attribution separate from calendar data
If you use a tool that adds a short product line under the times, that is not the same as exposing calendar details — but you can edit the copied text before sending.
Example (free times only)
Example only — sample times, not live calendar data. Copy and adapt.
I can meet at any of these times (Central): Thu (3/6): 9–11am, 3–5pm Fri (3/7): 10am–1pm (Sharing free windows only — happy to lock one in whenever you prefer.)
Frequently asked questions
Is free/busy the same as sharing my calendar?
Free/busy sharing shows when you are occupied without event details. Full calendar sharing can reveal titles and more. For a one-off email, pasting free times is even more limited — you choose exactly what to send.
Can the other person see why I am busy?
Not if you only send free windows as text. They see openings, not the busy blocks’ contents.
What about Google Calendar appointment pages?
Appointment-style booking pages let people pick free slots through Google’s interface. That is still different from showing them your event list, but it is a booking flow rather than an in-thread text reply.
Should I hide evenings or personal days?
Yes. Only list times you are willing to meet. Privacy includes not advertising windows you do not want booked.
